Job Description

As Financial and Administrative Assistant, you will have a variety of administrative responsibilities supporting our Commercial, Legal amp; Compliance, Talent and Finance functions. You will report to our Head of Talent.


Objectives

To assist your Commercial colleagues by preparing quotations and pricing, and supporting the due diligence amp; contracting process.

To help your Medical and Technical colleagues ensuring our policies and procedures are accurately documented and updated.

To support your Finance colleagues with financial administration.

To assist your Talent colleagues with tasks related to talent acquisition, onboarding, payroll management, people administration, and legal compliance.

To ensure the smooth running of our Spanish entity and Barcelona office.


Tasks

  • Manage daily the physical and administrative infrastructure of Spanish subsidiary and our (small) Barcelona office.
  • Support the accounting tasks for our Spanish and Chinese entities and ensure monthly payments are up to date.
  • Manage travels and agendas for our team members from different locations, and the travel expenses related to those.
  • Assist the payroll tasks of the monthly payroll run for our operating countries such as Ireland, Spain, France, and the UK.
  • Perform and support the HR administration tasks as needed and keep HR documentation organised and updated.
  • Assist your colleagues in the talent acquisition and onboarding process.
  • Help managing office events and people related activities.
  • Prepare pricing for proposals, working with your colleagues in Finance to refine our pricing models and tools.
  • Manage the due diligence process, when required by potential clients, coordinating among colleagues in our Finance, Medical, Technology and Legal Teams.
  • Ensure that invoices are correctly calculated and sent on time each month, with help from your Business Intelligence amp; Finance colleagues
  • Keep commercial support documentation and resources updated, organised and available.

You are available for a full time role based in Barcelona.

  • You are a strong user of PowerPoint, Keynote and/or Google Slides, and you can quickly and effectively create presentations.
  • You are effective and familiar with accounting, payroll and HR administration tasks.
  • You are numerically proficient, with strong numerical common sense.
  • You have outstanding organisational skills, and you can manage complex processes with multiple stakeholders.
  • You are fluent in English and Spanish (additional major world languages are a significant plus).
